About the job

We are seeking a highly organized and detail-oriented individual to join our team. You will assist with the day-to-day operations, playing an integral role in providing administrative support to ensure efficient operation of the office. You will also support recruiting and onboarding initiatives. Along with the Head of Talent, you will be an essential facilitator of our recruiting process and will work with the hiring managers and candidates. By being efficient and thoughtful, you'll create a seamless candidate experience by keeping our Applicant Tracking System organized and up-to-date, by scheduling interviews with candidates and members of the team in a timely fashion, and by being a champion of our company’s values.

Responsibilities
  • Support general office organization, monitoring office inventory and ordering supplies

  • Act as primary liaison between the company, staff, and office building management, providing information, answering questions, and responding to requests

  • Responsible for completing the new hire onboarding checklist, including initiating internal communications, welcoming new hire, and onsite orientation

  • Responsible for company calendar setting by scheduling board meetings, all hands meeting, quarterly information meetings, monthly safety meetings, etc.

  • Manage company wide event planning and assist with other social activities

  • Run errands for company internal and external events (2-3 times a month)

  • Assist in managing shipping, receiving, and freight forwarding

  • Assist in posting news items on website and social media; making updates to both as needed

  • Partner  with Head of Talent to schedule phone screens and coordinate on-site interviews with hiring managers across the organization

  • Post open positions on job boards, internally, and encourage team members to use their network as a sourcing strategy

  • Coordinate candidate travel to NuMat

  • Help coordinate and communicate with third party agencies

  • Help with daily operations of Greenhouse (ATS) and all other talent tools

  • Ensure a great experience candidate throughout the recruiting process

  • Participate in adhoc recruiting and people projects to help scale the function

  • Support special projects as assigned by the director of administration

  • Prepares information and research as requested

  • Independently prioritize daily tasks and responsibilities

Individual Characteristics
  • Minimum of high school diploma or GED equivalent required

  • Associate's or bachelor's degree preferred

  • Previous successful experience in an office environment required

  • Impeccable organizational/time management skills,  and attention to detail

  • Computer knowledge and experience using Microsoft, Google Workspace

  • Excellent communicator, both spoken and written

  • Solid interpersonal skills, enjoys working with people

  • Thrives working both independently (a self-starter) and collaboratively

  • Dependable, respectful, and consistently works to uphold company ethics and standards
